Q: What is an “Official” Transcript?

A: All transcripts that we produce in response to a student’s request are “Official” as far as we are concerned. They all are on special paper with the Registrar’s signature, the date and the school seal. Any transcript that we provide to the student will also indicate “ISSUED TO STUDENT”. Some agencies do not consider these to be official. Be sure to check with the agency that wants the transcript to see what they consider to be official. Most schools will accept transcripts that are issued to the student only if they are placed in an envelope that is sealed and has the Registrar’s signature over the seal of the envelope. We will provide them in this manner if you request that your transcripts be issued in Signed and Sealed Envelopes and pay the additional $10 special processing fee. .

Q: Can I get an unofficial transcript for my records?

A: You may request a transcript for your records, but you will have to pay the $7.00 fee and it will actually be an Official Transcript Issued To Student. If you are a current student and have an active OSU e-mail account, you can print your advising report from our web site at no charge. The advising report contains all of the information on a transcript plus more. See our web site at www.ureg.ohio-state.edu under on-line services.

Q: If I need my current quarter grades or degree on my transcript, how long will it take?

A: If you place your order early and ask us to hold your transcript until your grades or degrees are posted, we will mail the transcripts being held for degrees on the Thursday following graduation. That is when the degrees and honors have been checked for accuracy. Transcripts being held for grades will be mailed on the second Tuesday after graduation. That is when most “missing” grades have been collected after the main grade run. However, you may watch your grades on the Registrar’s web site and place your request on the web as soon as you can see that your grades are there. If you place your order on the web and do not ask us to hold the transcript for grades, the transcript should be mailed the next business day. Degrees are not posted until after graduation, even if the grades are there. If you request your transcript on the web on graduation day or after, your degree should be posted on the transcript. However, there is a chance any errors may not be caught before mailing if you do not tell us to hold the transcript for the degrees to be posted.

Q: What kind of special handling is available?

A: There is an additional $10 fee for special handling. Services include rush placement of the transcripts in separate signed & sealed envelopes and attachments to the transcript. If the transcript is being sent to a foreign government that requires it, we will notarize the transcript before we mail it as long as you indicate this in your request (no fee for notary). If you have forms that need to be completed and mailed with the transcript, we will do so. However, we cannot send official documents from other sources with our transcripts. You will have to send them separately.

Q: Do I have to order two transcripts to get my OSU undergraduate and OSU graduate records sent?

A: No. Our transcripts are complete records of your entire enrollment at OSU, and would include any transfer credits accepted. However, we cannot issue copies of transcripts you sent to OSU as part of your admission application. We also cannot issue partial transcripts if you want your graduate record only, and also completed undergraduate work here.

Q: Can you guarantee when I will get my transcript?

A: The turnaround time of within five business days is an estimate of how long the request will be in our office before the response is mailed. It is not a guarantee. Frequently it will be less than five business days, but occasionally it will be more. We make every effort to keep our turnaround within the five days. This does not include the time it spends in the mail after it leaves our office. However, if you place your order on-line, the transcripts will usually be mailed the following business day.

Q: If I pay the rush fee and the FEDEX® fee with the transcript fee, am I guaranteed to receive my transcript the next day?

A: In most cases, you should get it the next day, but we cannot guarantee it.

If there is a problem with your web order you will be notified and the transcript will NOT be released until the problem is resolved. FEDEX® is only available when you place your oreder on-line. FEDEX® picks up, in our office, around 4:00 PM.

Q: Will you let me know if there is a problem in processing my request?

A: If you placed your request on-line, you will be notified of any problems through the email, text message or fax number you provided otherwise we will contact you by regular mail. If you do not give us your current mailing address, we will use the last address we have in our records for you.

Q: What happens if my record has a “hold” on it?

A: If you have an outstanding financial obligation to OSU, such as parking tickets, missing library books, or being behind in student loan payments collected by OSU, your record may have a financial hold. There are other types of holds, as well. If your record has a hold, transcripts will not be issued until the hold is removed. If all other requirements are met, the transcripts will automatically print and be mailed after the hold is cleared. If you made your request by mail and if you provided your current address, you will be notified if there is a hold on your record when you request transcripts. You may send a written request to cancel your transcript request if you will be unable to clear your hold right away.

Q: Will you issue my transcripts then bill me?

A: No. The payment must accompany the request. If there is no payment with the request, we will send a post card asking for payment. Only after the payment is received, will the transcript be produced. However, if you make your request via the web, your credit card will be billed when the transcript is sent.

Q: When I request rush service and pay the $10 rush fee, do you send it via express mail?

A: No. The $10.00 RUSH Service Fee is for shortening the amount of time the request is in the que before the transcript or verification is mailed. It does not include express mailing. We mail the response via first class mail the same day or within one business day instead of our regular estimated five days.

Q: If I apply to a new OSU program through the Office of Admissions, do I need to order my prior OSU transcript to be sent to OSU Admissions?

A: No. If the application indicates that previous transcripts need to be sent to Admissions, Third Floor
Lincoln Tower, 1800 Cannon Drive, you do not need to request your OSU transcripts to be sent there.
When the Office of Admissions is ready to review your OSU transcript, they will obtain it directly from the
Registrar's Office at no cost to you. If your instructions indicate that you also need to send a transcript to the department, you may want to check with Admissions and/or the department to see if Admissions will
forward a copy of your transcript. In most cases, Admissions will forward a transcript with the application
when the application is referred to the department.

Q: Can my transcript be sent by express mail?

A: No. The only express delivery option available is through FedEx, which can only be requested through the web. When you place your transcript order on the web and select FedEx, the transcript and the FedEx mailer will print in our office. FedEx picks up at approximately 4:00pm each business day.
